The description of how we process your personal data when you submit a job application to LD Pensions is a supplement to our general policy on the processing of personal data.
Unsolicited applications
At LD Pensions, recruitment is based on job advertisements. It is rare for an unsolicited application to form part of an actual recruitment process. You should therefore expect your unsolicited application to be deleted.
Processing your application
Applications are received and processed via external job portals. We will usually communicate with applicants via the portal, but may also do so by telephone or email.
When you apply via a job portal that we have referred you to, you will be provided with information about the job portal’s privacy policy, and you will be asked to accept the job portal’s terms and conditions regarding the processing of your personal data.
We will assess and prioritise applicants via the job portal. However, we may transfer selected applications to LD Pensions’ own systems, including printing them out.
As part of the assessment of applicants, we may compile overviews of the pool of applicants. These overviews are deleted or anonymised once the recruitment process has been completed.
Conversations
During the job interview, we will discuss your professional and personal qualifications, the challenges of the role, and LD Pensions as a workplace.
During the interview, we will take notes on some of the information that comes up. These notes will be deleted no later than three months after the recruitment process has been completed.
Obtaining information and references
We will often seek further information about the applicants who, in our assessment, best meet the job requirements. In this context, we often search – where relevant – for publicly available information on the internet, including on social media. We may also ask you to provide us with further information, or ask for your permission to obtain references from former colleagues, managers or employers.
Further information, including notes on interviews with referees, will be deleted no later than 3 months after the recruitment process has been completed.
Recruitment agency
If you are applying for a job where the job advertisement states that an external recruitment agency will process your application, your personal data will be processed by the recruitment agency in accordance with its privacy policy, which you will be informed of when you apply.
Test
We will often use tests as part of the assessment of the 2–3 applicants we consider most suitable for the role at LD Pensions. These may include personality tests and skills assessments.
You will be asked to give your consent to undergo a test.
Criminal record
If we consider that it would be relevant to the post to which the application relates for you to be “Fit & Proper” approval in accordance with the relevant provisions of the LD Act, you will be asked to assist with this process, including by submitting a criminal record check to the Danish Financial Supervisory Authority.
The next steps
Applicants who have attended an interview will be notified either by email or by telephone. Once we have filled the post, we will send a written rejection to all other applicants.
If you are offered a position with us, the information we have received and processed as part of the recruitment process will be kept in your personnel file. When you start your new role, you will be informed about LD Pensions’ Privacy Policy for employees.
If your application is unsuccessful, we will delete the information we have received and processed in connection with the recruitment process once it has been completed. The information will be deleted no later than three months after the recruitment process has concluded. If there are special circumstances that mean we would like to retain your application documents for a longer period, this will only happen if you give us your consent to do so.
Disclosure of your personal data
We will only pass on your personal data to others if it is necessary for the processing of your application, or if you have given your consent.
